Event Overview:
- The RISC-V Day Tokyo 2024 Winter conference is scheduled for January 16, 2024, from 9:00 to 17:00 JST at the Ito International Research Center, The University of Tokyo. Booth Information:
Standard Booth:
- Dimensions: 2.7 meters (width) x 1.8 meters (depth) x 1.8 meters (height)
- Includes a logo printed in A1 size
- Furnished with a reception table (800mm x 1800mm x 720mm)
- Equipped with a power supply
- Five panels in white (900mm x 22mm x 1800mm)
- Posters and other materials can be tacked to the panel.
- We provide tacks for you. Please do not use tapes.
- A0 portrait size poster can fit right in the 90cm wide panel.
- Comes with two pipe chairs
Premium Booth:
- Larger space: 3.6 meters (width) x 1.8 meters (depth) x 1.8 meters (height)
- Two reception tables or gallery tables (dimensions as per the standard booth)
- Comes with four pipe chairs
Power supply and the six Vantam panel and pipe chair provisions as the standard booth
Setup and Dismantling:
Setup Dates and Times:
- The venue, Ito Center, will unlock all doors at 9:00 AM on the day of the event. Exhibitors, sponsors, staff, and attendees will be granted simultaneous access.
- Setup in the B2F Ito Hall and foyer is scheduled for the morning of the event from 9:00 AM to 9:45 AM January 16, 2024.
- Booth contractors can begin their setup at 9:00 using the utility elevator to transport panels and power cords, being careful not to obstruct the reception area.
- Exhibitors can start setting up the booth at 9:00 but has to wait till the booth is built.
Setup Instructions:
- Reception tables will be initially placed by the Ito Center near the central pillar at 9:00 AM. As booths are set up, these tables will be reassigned to the booths.
- Gallery 1 tables, along with chairs, will be allocated to each booth once they are set up, transferred from B1 to B2F via elevator.
- The host will manage the setup of video cameras, cable laying, and other technical preparations.
Dismantling Dates and Times:
- Dismantling starts from 5:00PM on the day of the event, January 16, 2024.
- The deadline for dismantling at B2F Ito Hall and foyer is 6:00 PM on the day of the event.
- Any items not cleared by then should be moved to B1F using the utility elevator.
- For B1F Gallery 1 and Gallery 2, all items should be dismantled and removed by 9:00 PM on the day of the event.
Dismantling Instructions:
- The dismantling of booths should be completed within one hour, with items being transported out via the utility elevator to vehicles at 1F.
- Unsold books and any material left by attendees will be managed by the staff.
- Coordination with shipping services for pick-ups or sending items via nearby convenience stores may be necessary.

Badge Pick-Up Timing:
The conference begins three hours before the exhibition. We ask exhibitors to arrive early to align with the conference attendees’ arrival.
Please plan to pick up your exhibitor badges during this time to ensure access to your booth prior to the exhibition opening.
Location and Process:The exhibitor badge pick-up will be located at reception desk. Please arrive 10 minutes before 9AM for speedy processing.
While there is an overlap with conference attendees, exhibitors will have a dedicated line. Look for signage marked “Exhibitor Registration” to join the correct queue.What to Bring:
Ensure you have your confirmation email or registration details handy, along with a photo ID, to facilitate the badge collection process.
On-Site Assistance:Our event staff will be available to assist you at the badge pick-up area. If you encounter any issues or delays, please approach them for support.
After Badge Collection:
Once you have your badge, you will have full access to the exhibition area to finalize the setup of your booth. We encourage you to complete your booth setup promptly, as the exhibition will commence immediately after the conference opening segment.
Additional Badges:
If you require more badges than initially provided, please inform the registration staff, and they will assist you according to the event’s policy on additional badges.
Number of Exhibitor Badges Provided:
- The standard allotment of badges per booth can vary; however, events provides 4 exhibitor badges per booth.
- Badges are typically designated for booth staff and are required for access to the exhibition area during setup, event days, and dismantling.
Obtaining Additional Badges:
- If additional badges are needed, exhibitors may request them during the registration process or by contacting the event organizers directly.

Deadlines for Shipping to Venue: TAll items must arrive in the afternoon of January 15, 2024. This is to guarantee that your materials can be stored and ready for you to access on the day of the hall’s use.
